What this job involves
1. Reception: Manage front desk operations, greet visitors, handle inquiries, and ensure a professional first impression for the organization.
2. Mail Service: Oversee incoming and outgoing mail, package handling, and distribution to ensure efficient communication flow within the organization.
3. Cleaning Service: Coordinate cleaning staff to maintain a hygienic and presentable workplace environment for employees and visitors.
4. Security Service: Coordinate security personnel and ensure compliance of access policy, and safety protocols.
5. Parking Service: Coordinate parking service, allocate spaces, and ensure smooth traffic flow for employees and visitors to the premises.
6. Meeting Room Service: Coordinate booking, setup, and maintenance of meeting spaces.
7. Pantry Service: Assist pantry service, ensure cleanliness, stock supplies, and maintain appliances for employee use and comfort.
8. Biz Mobile Service: Manage mobile business services, potentially including company phones, or other portable devices for employee use.
9. Travel Booking Service: Coordinate travel arrangements for employees, including transportation, accommodation, and itinerary planning for business trips.
10. Stationery Service: Manage office supply inventory, procurement, and distribution to ensure employees have necessary materials for their work.
11. Info Screen Management: Maintain and update digital information displays throughout the facility to communicate important messages and announcements.
12. Catering Service: Assist food and beverage services for meetings, events, and daily employee needs as required.
13. Payment support: Prepare payments submission that are related to facilities management services.
14. FM Procurement: Assist procurement process for facilities-related goods and services,
15. Regularly update operational and financial data and reports to ensure accurate data
16. Any other ad-hoc support required.
Required qualifications
• At least 1 to 2 years of prior experience service-oriented position.
• Able to cooperate and work well with others to meet targets
• Support the team effectively as and when needed
• Able to interact with the general client staff & vendors with ease
• Demonstrates proactive & professional approach to customer service
• Has a customer-oriented attitude
• Fluency in English and Mandarin
• Willingness to learn and adapt in a fast-paced environment
• Proficiency in facilities management software and MS Office suite
